Introduction

WISEflow is a digital assessment platform designed to streamline the creation, management, and grading of exams. It offers a user-friendly interface and a range of tools to help academics efficiently author exam papers, ensuring a smooth and secure assessment process.

This page provides comprehensive resources to help you create, share, and manage exam papers using WISEflow. Below, you'll find instructional videos, a PDF manual, and PowerPoint presentations to assist you in the authoring process.

Whether you are new to WISEflow or looking for some answers, these resources will guide you through each step.

Getting Started

Account Setup and Logging into WISEflow

The Exams Team will set up your WISEflow account for you. If you are unable to log into WISEflow, please contact the Exams Team at Exams@beds.ac.uk

Key Elements in WISEflow

Here are some key areas:

  • Flows: The flow serves as the foundational element in WISEflow, where you begin by adding students, exam papers, and markers. All these components are integrated within the examination flow and overseen by the exam team. In WISEflow, the assessment and examination process is referred to as a 'flow'.
  • Stages of a Flow:
    1. Flow Initialisation: This stage indicates that the flow exists within the system but is not yet ready for student participation.
    2. Open for Participation: At this point, the flow is open for students to interact with. Students can engage with the flow and submit their exam answers.
    3. Marking Period: This stage signifies that the exam is ready for marking. Assessors can now mark the exams, and reviewers will review all grades and submit the final grades.
    4. Flow Completion: The flow has ended. Students can return to the flow page to collect any feedback that has been shared.

WISEflow Roles and Responsibilities

  • Role-Based System: WISEflow operates on a role-based system. On the WISEflow homepage, you’ll see various roles, each with specific responsibilities. Under each role’s tab, you’ll find a set of tools tailored to the tasks required at that stage of the examination process.

Understanding the different roles in WISEflow is crucial for efficient exam management.

Here are the roles and their responsibilities:

  • Participant: Any student who sits an exam.
  • Author: The individual who writes the exam paper.
  • Assessor: The marker who marks the student’s exam paper.
  • Co-assessor: The second marker, called a co-assessor, who marks the exam paper.
  • Reviewer: The person who moderates the final grades, reviews the grading/marking, and submits the grades.
  • Reviewer (Internal): Typically, the unit lead who confirms and submits the marks.
  • Reviewer (External): An external examiner who reviews the grades. (They will need a UOB email address)
  • Manager: Individuals who assist in the administration of an exam (This is the exams team).

Types of Exams in WISEflow

In WISEflow, you can create various types of exam papers:

    1. File-Based Exam Papers

      • FLOWassign Exams: For this type of exam, the author uploads a PDF exam paper. Students create their answers in a Word document, convert it to PDF, and submit it. However, this method is being phased out in favor of typing directly in WISEflow.
      • FLOWlock Exams: The author uploads a PDF exam paper, and students write their answers directly in WISEflow. The "lock" element refers to the lockdown browser used for onsite exams. At the University of Bedfordshire, this feature is being piloted without the lockdown browser for online remote exams, allowing students to type within the WISEflow in-app editor, reducing submission issues.
    2. Interactive Exams
      • FLOWmulti Exams: These exams are designed and built directly in WISEflow using the native question builder. The platform offers over 50 different interactive item types, ranging from basic multiple-choice and short answer questions to complex mathematical evaluations. Students provide their responses directly within WISEflow.

Key Authoring Features in WISEflow

WISEflow offers a range of features to support the creation and management of exam papers:

  • Creating exam papers & Rubrics: Navigate to the Author tab and select the type of exam paper you want to create. You can choose from various formats, including file-based exam papers and interactive FLOWmulti exam papers. You can also directly create rubrics in WISEflow.
  • Question Types: WISEflow supports over 50 different question types for FLOWmulti exams, including multiple-choice, fill-in-the-blanks, essay, and more.
  • Uploading Exam Papers: You can upload exam papers directly to WISEflow. Ensure that all materials are correctly formatted and securely uploaded.
  • Publishing Assignments: Once your exam paper is ready, you can publish it and share it with the exam team directly. This ensures that all exam materials are securely stored and accessible only to authorised users.

FAQ

Common Questions:

Currently there are two versions of the Authoring tool running side by side in WISEflow.

A new version that is still incomplete and being developed, and the older version we have been using since WISEflow was implemented. Authors will have access to both.

We would highly recommend that you use the old version 'Assignments (legacy)' as this is a tried and tested method.

The landing page for the Author is shown below and provides access to:

  1. Assignments: Provides quick access to the last three most recently edited assignments.
  2. Content Bank: Provides quick access to the last three most recently edited items. Read the full article on the content bank
  3. Associated Flows: This function is used by the exams team.
  4. Rubrics: Access to your list of Rubrics. Read the full article on creating rubrics
  5. Author Groups: Access to your list of Author groups. Read the full article on author groups
  6. Assignments (Legacy): Access the legacy version of the authoring tool. This is where you will create your exam papers.

Authoring landing page

File-based exam papers:

  • Consist of an uploaded PDF file.
  • Can include appendix materials that may be in any file format.
  • Please ensure you let the exam team know about an appendix materials or include the appendix within your main exam paper.
  • These can be used in FLOWassign, and FLOWlock exams, where students will be able to either preview the files directly in WISEflow (FLOWlock exams) or download them as required (FLOWassign exams).

FLOWmulti exam papers (CBE) are designed and built directly in WISEflow:

  • WISEflow offers over 50 different interactive item types from basic multiple-choice, short answer or open-ended question responses to complex mathematical evaluation methods.
  • These are constructed using the native question builder in WISEflow.
  • Interactive exam papers are only able to be used in FLOWmulti exams

Please contact the exams team if you require further assistance at exams@beds.ac.uk

Exam papers need to be created, shared, and published on WISEflow six weeks before the examination period. Using WISEflow ensures the most secure process for handling exam papers.

We request that both main and resit exam papers for the unit are published before the examination period begins. This helps ensure a smooth and organised examination delivery.

To ensure that we can correctly identify exam papers in WISEflow, please follow this naming convention when uploading:

  1. Unit Code (e.g. AAFXXX-X, CISXXX-x)

    • Ensure the unit code is written correctly, as incorrect codes will prevent us from locating your exam paper.

  2. Period (e.g. SEM1, NUR2, BLK5)

  3. Academic Year (e.g. 2023-24, 2024-25, 2025-26)

  4. Exam Type: Main, Resit, or Exceptional Resit

  5. Campus: West or East (if required)

  6. Location: OCB, ROOTS, LUTON, MILTON KEYNES, NATIONS

    • Include the full name of the location (if required)

Without these details, it becomes challenging to upload the correct paper.

The description is optional, but please use tags to further assist in the identification of the correct paper.

If the exam team is unable to identify your exam paper, they may contact you for further clarification.

Exam paper naming convention

WISEflow has over 50 different question types available for use in FLOWmulti exams ranging from simple single-best answer questions to those which involve the evaluation of complex mathematical expressions.

Most question types support auto-validation although some of the open-ended question types require human scoring.

See a full summary of the available question types

There is a tiered system of granularity of how authoring it works in WISEflow.

Assignment (Complete Exam Papers): This is the top level, representing the entire exam paper.

Items: Each assignment contains items, which can include one or more questions.

Individual Questions: Within each section, there are individual questions, which might be one or more per section.

If you would like to ensure that there are different sections or parts within your FLOWmulti exam paper, please ensure you create a new item for each section/part.

If you require assistance with this, please contact the exams team at exams@beds.ac.uk

  • Auto-Validation: Most question types in FLOWmulti exam papers support automatic scoring. For these, the author sets the correct answers and the points awarded for each correct response when creating the exam paper.
  • Manual marking: Some open-ended questions need to be marked manually. Authors should define the word count for these questions.
  • Disabling Auto-Scoring: Auto-scoring can be turned off for any question type. In this case, the author must manually set the maximum score for each question.

The tools and media available to put in items are the following:

Available tools and media

  1. Simple Calculator: Provide a simple calculator to do basic calculations.
  2. Audio Player: Incorporate an audio player into the item, where the participant can replay a recording chosen by the author.
  3. Video Player: Embed a video player into the item, where participants can view a video uploaded by the author.
  4. Ruler: Provide a ruler that can be positioned freely in the item.
  5. Protractor: Provide a protractor that can be positioned freely in the item.
  6. Scientific Calculator: This calculator has access to more advanced mathematical calculations than the simple one.
  7. Formula: Enable participants to write down formulas for later use, and give them a better overview of the formulas they might be working with.
  8. Line Reader: Create a shadow around a single line in the item, so participants can focus on that single line of text or alike. This tool can be moved, to keep the focus while reading several lines.

Please let the exam team know if you need assistance adding these tools to the items in your FLOWmulti exam.

As an author, you have the option to change the configuration for the entire exam paper.

You can access the configuration by clicking the small tool icon as shown on the image.

Spanner icon to configure settings highlighted

In the configuration menu you will have the following options:

1.Shuffle items: Make items occur in random order for each participant. We recommend to colleagues that they ensure the shuffling of items, to ensure that students sitting next to each other will see the questions in a shuffled order reducing misconduct.

2.Negative scores: Allow questions to have negative scores

3.Reading mode: Mandatory period of read-only access at flow start. If activated, this starts the assignment with a set period of time where the participant has read-only access to the items of the assignment. You can set extra settings of reading time is activated:

1.Go to first item on completion: Automatically returns to the first item when the reading time is finished.

2.Reading time: Period of time where there should be read-only access

3.Warning time: Number of seconds to show a warning before the reading time ends

4.No backward navigation: Disallow backward navigation in the assignment. If activated, this makes it impossible for the participant to return to a previously attempted item.

1.Warning on item change: Warn the participants when progressing to the next question if the current item is not fully answered.

5.Information page: This will display the information on a separate start page before starting the exam. Please note students will only be able to read this information once.

An activated option is shown with a green colour and a deactivated one is shown in grey.
