Mark Entry and Verification FAQ's

Mark Entry and Vertification in SITSE:Vision: Benefits

The Mark Entry tool provides 'real time' reporting, and updates on mark entry availability and progress which was not available previously using CSV files which were limited to an 'a snapshot in time' view. It removes the dependancy of needing to ask your Administrator for a CSV file, and submission of verified marks for exam board consideration is now at a click of a button, rather than dependant on email submission. The tool also now provides up to date reporting at any time on mitigation status, which was not previously available.

Access: System & Training

Guidance available on in.beds, and emailed to Academic Colleagues after attendance at a Mark Entry training session will provide information on how to resolve this.

No. Access to the new Mark Entry and Verification tool in Live SITS/e:Vision from the 8/7/2024 is via any browser of your choice, independent of any VPN/VDI connection, and can be on any device.

You can access the Sandpit without a VPN/VDI connection on a UoB Campus, using a UoB device. If you are not using a UoB device, or working offsite, please contact ICT for VPN/VDI guidance.

Yes. The Sandpit is available prior to go live, and beyond the go live date of the 8/7/2024.

Final training materials and guidance will be published at the end of June 2024 on in.beds, at
https://in.beds.ac.uk/registry/mark-entry-and-verification-tool/

Yes. Walk through videos are embedded with the training materials and guidance available at https://in.beds.ac.uk/registry/mark-entry-and-verification-tool/. Any additional recordings will also be published on the in.beds site.

Mitigation and Academic Misconduct

Only approved mitigation decisions will be available to view in SITS/e:Vision Live. Please note that Sandpit may show declined decisions; this will not be replicated in the live environment.

Yes. These decisions are recorded in the system in exactly the same way as any other approved mitigation outcome.  Please note, the mitigation report within the mark entry tool will only show approved mitigation outcomes, but will not show if the application has been made using a self cert option, or by providing evidence.

Either check with the SEAM team, or check the mitigtions tab within the mark entry tool for approved mitigation outcomes.

Yes, mitigation decisions are recorded by the SEAM team. Accepted mitigations which have been recorded by the SEAM team will show in the mitigation report within the tool.

No, this is not available, as taking this course of action would result in needing to take a Chairs action. A resit outcome will go to the next exam board for confirmation, and then will be due at the next assessment point.

No, students with 7/14 day extensions, will show in the main mark entry screen. These extensions are not pre populated with a mark/grade in the mark entry screen. The report for mitigation decisions available within the mark entry tool also reports accepted 7/14 day extensions, as well as mitigation resit accepted outcomes.

If the student has been awarded 7/14 days extension, then yes, this mark can be updated providing this is before the exam board deadline. If it after the exam board deadline and mark entry has closed, then this will need to be entered after the exam boards when mark entry reopens, following the process within the guidance for a Chairs action. If it is a MC resit, the the marks would go to the next assessment point and resit board - mark entry would then take place within this period.

Yes, providing the marks have not been verified, this can be changed in the mark entry screen to a 0/AC. If they have been verified your Administrator can reopen mark entry on request to enable you to do this.

Guidance on the process for this is covered within the additional scenarios section of the mark entry guidance and training materials. Please follow this guidance.

The current CSV file mark entry process does not have validation checks to cross reference this, and this remains consistent within the new mark entry tool and process. Please ensure you do not overwrite any marks in the mark entry tool beginning with an A on M to ensure these outcomes are not overwritten.

Functionality and navigation

Students are displayed in the mark entry tool in numberical order by UoB student number, There is no faciity to toggle order.

Isolation of specific assessment points is not available within the mark entry tool, and mark entry is displayed at a unit availability level. Please ensure you enter the correct marks for the correct assessment points.

No, at present, there are no due dates in the system to generate these reminders. Your administrator will advise you of the cut off dates for submission and verification of marks for for exam boards.

No, although this is technically possible and could be a future development.

The tool does not issue a specific notifcation for calculation errors, and you would need to click into the calculation errors tab to see the detail related to this. The verify results screen shows unit calculation outcomes where you can also check for errors.

Access to the tool can be open to HPL's, but is a local faculty decision. Verifying the final grades will provide the unit leader with an opportunity to check for accuracy of input.

The Mark Entry tool provides an improvement in mark entry, and is an interim step towards a 2 way interface, subject to funding, resource and time availablity in the future.

Marking schemes

These marks/grades are input automatically. Academic colleagues do not have to input these into the Mark Entry tool.

An NZ outcome denotes non submissions for an entire unit. This would show against a unit outcome after calculation. There is no need for academic colleagues to input this into the mark entry tool.

This denotes a student/s who have transferred to another course. This is automatically updated in the new tool, and academic colleagues do not need to enter this into the Mark Entry tool.

Mark Entry process and sequence

Results are available for students to view as soon as they are entered into the mark entry screen. The marks are clearly denoted in the student SITS/e:Vision view to indciate if they are provisional or confirmed.

This is at the discretion of the Unit Leader, and markers for the unit, but will need to be before the deadline set by your Administrator for input, and verification of marks ahead of the Exam Board.

Yes, Academics using the Mark Entry tool will be able to enter a 'P' or 'F' as they currently do on the CSV file.

There are no changes to regulations regarding late submissions, and no requirement for academic colleagues to grade late submissions.

The dashboard will show marking progress for any units where you have a marking relationship with the unit. This will include any missing marks that still need to be populated. Please remember to check back for previous academic years for marks which still need to be populated.

Unit calculation shows in the verification screen - this is autimatically generated when you calculate. An academic does not need to generate this themselves.

Please check with your quality officer in the first instance, who will respond, or re-direct as needed.

No, this is not available unless your administraror re-opens your unit for mark entry.

Resits and capping

Yes, resists should be fully graded.

Yes. If the attempt is capped, the uncapped mark that is entered will not be visible to the student, but remains stored in the 'background' should it need to be referenced on a future occasion.

No. SITS/e:Vision shows capped marks in the student view where they have been applied. SITS/e:Vision should be considered the 'golden source' for information relating to the student record.

We recognise that this is a teaching and learning function, and you should seek advice from the business/process owner accordingly.

Yes. The student records system (SITS) will need to agree the first attempt at an exam board, before the resit opportunity is generated and available in the mark entry tool.

Yes. The mark entry tool tool will cap marks where needed, and will advise you where this capping has taken place.

Roles and Responsibilities

This could happen for a few reasons (1) You are not registered at Tutor 1 on the Unit Tutor and Marker Maitenance tool - please check the unit tutor and marker maitenance tool and update as needed (2) The results have already been verified and the marking status is set at 'results verified' (3) marking has been closed, and the status is showing as 'marking closed' in preperation for the exam board or (4) The results have been agreed at exam board, and the marking status shows as 'results agreed at exam board'.

Yes. Simply update the roles in the unit tutor and marker maitenance tool in line with the guidance provided in the training materials.

You are unable to have more than x1 Tutor one at any given time, but you can change the Tutor 1 in the Unit Tutor and Marker Maintenance tool as needed.

Verification is the responsibility of the Unit Leader, and is therefore restricted to this role (Tutor 1) within mark entry.

There are a number of scenarios where Administrators will need to support with Mark Entry which are outlined in the guidance. Administrators provide vital support in the preperation for exam boards, and post exam board administration, and this continues as an essential part of their role.

The final published guidance for mark entry which will be available on in.beds from the end of June, will outline the scenarios where Administrative colleagues can provide further assistance. The guidance will be available on the following link: https://in.beds.ac.uk/registry/mark-entry-and-verification-tool/

Academic Partnerships

Dedicated training, materials and support has been provided to academic partners with validated provision. Follow up support for academic partners with validated provision will be available once the tool is live.

Academic partnerships with validated provision are using the same mark entry tool and approach. Academic colleagues at the partner inputs the marks into the mark entry tool, with the UoB link coordinator responsible for verifying the marks. There are subtle differences in that mitigations and academic misconduct are managed locally so will not show in the tool, and marker roles are managed by CAP Admin, but otherwise the approach is consistent with UoB Home provision.

External Examiners

External Examiners will not have access to the new mark entry tool, and cannot be added using the Unit Tutor and Marker Maitenance tool

A key principle of the new Mark Entry tool is to mitigate GDPR risk by removing downloadable Excel sheets which share student information through email. Summary sheets will not be available to download from the mark entry tool. Moderation is a process external to mark entry, and we would advise that you consult the appropriate business/process owner for guidance on moderation process.
