You may have already spotted our digital screens dotted across our campuses. We manage the content displayed on these screens.
The information screens are located in easily accessible common areas, such as receptions, foyers and restaurants. They are used to communicate important notices and alerts, to keep staff and students informed about University business, and to help publicise and promote University-led activities and events.
University and Beds SU staff can request content to be placed on the digital signs.
To request a digital sign, please complete the request form here
Please allow up to three days for requested signage to appear. Any questions about digital signage should be sent to InternalCommunications@beds.ac.uk
The Communications team reserves the right to edit any information submitted to ensure it complies with style, branding and corporate identity guidelines. They will also decide on the best format for disseminating the message on screen, depending on the type of message, the content and the graphics/images available.
Other channels that may be used to communicate information to staff and/or students include:
There is a character limit for the text on a digital sign. Limiting the word count helps to ensure that messages can be easily seen and read (even at a distance) and understood in the limited time (usually around 15 seconds) they appear on screen.
All messages should include:
It is the responsibility of the person submitting the request to ensure that all information is correct (e.g, date, time, venue, phone number) and that appropriate approval for circulating the message has been obtained. The Communications team will not double-check such information.
A suitable (and high quality) photograph or graphic (e.g. logo) should be included. Clip art is not suitable.
Images should be in JPEG or PNG format and the resolution should be 300dpi. The Communications team may be able to assist in sourcing a suitable image/graphic
Tables should not be used as they are hard to read on screen.
Photographs should be submitted in landscape where possible, as these fit the format of the digital screen.
You may also submit all information for a digital sign, including headline (not exceeding 45 characters) and text (not exceeding 250 characters), in the form of a poster-style design.
This poster must be as a landscape image in order to fit on the screen and has to be sent in original Photoshop or inDesign format (we can only accept .psd and .indd files). Details of all fonts used should also be supplied, as the Communications team may have to download new fonts when processing (and, if required, amending) the poster.
The Communications team reserves the right to edit any material sent in order for it to comply with the digital signage guidance and University style guidelines. You will be consulted about any substantive changes to material submitted.
All images, including logos, and information displayed on the digital signage needs to follow copyright laws.
Permissions apply to the use of photographic images, for which the consent of both the photographer and anyone pictured (particularly where a subject is external to the University) must be secured. In many cases images used on the screens will be sourced internally but where images are provided for publication it is the responsibility of the person providing the image to seek and confirm permission prior to making the request for it to be used for digital signage.
If you have any questions about digital signage, or require any support or assistance, please email InternalCommunications@beds.ac.uk or phone 01582 743079. To report a faulty screen or other technical problem please contact ICT.
