The purpose of the External Bookings and Guest Speaker policy is to outline the process to be followed when making event bookings and arranging guest speakers. The University has a duty to ensure the safety and security of all its students and staff and any members of the public whilst on University premises.
The External Bookings and Guest Speaker policy applies to ALL staff, students, governors and visiting speakers and to ALL events and activities held within the University of Bedfordshire premises. The policy also applies to events off-campus where it is branded as a University event or funded by the University or where principal participants are members of the University community.
The policy also applies to event bookings and guest speakers arranged by staff and students at Partner Colleges and Study Centres that are branded as University events, funded by the University or where principal participants are members of the University community.

If you are booking an event, you should seek the usual approvals from your line manager, Venue Beds or Beds SU as appropriate before completing the booking form.
Once submitted, the form will be reviewed and you will only need additional approvals or be required to provide additional information if your event reaches certain thresholds. You should therefore only expect to hear from Student Experience if these thresholds are met, as outlined in the policy.
